About the Role
We are seeking a highly organized and proactive Product Operations Coordinator to enhance operational efficiency within our R&D organization. This role involves managing AI-generated reporting, coordinating key events, ensuring OKR accuracy, and driving internal projects aimed at optimizing how our teams operate.
You will work cross-functionally with Product Managers, Engineers, Business Leaders, and external partners to schedule and facilitate key events, maintain structured workflows, improve data hygiene, and support internal efficiency projects. Additionally, you will play a key role in ensuring product-related presentations and updates are well-prepared and effectively communicated.

Key Responsibilities
1. AI-Generated Reporting & OKR Management
- Oversee and maintain AI-generated reports, ensuring data is structured, accurate, and effectively communicated.
- Ensure OKRs are consistently updated, with relevant and legible content that reflects business priorities.
- Maintain strong data hygiene practices, ensuring clarity and consistency in reporting and performance metrics.
2. Event & Calendar Coordination
- Plan, schedule, and manage key events within the R&D calendar, including:
- Product Managers' Presentations
- Product All Hands
- Internal All Hands
- Other critical R&D events
- Ensure all contributors and presenters receive clear engagement scope and are given adequate time to prepare so they are fully ready on event day.
- Own and maintain the R&D event calendar, aligning multiple stakeholders.
- Send timely communications and reminders about upcoming events.
3. Content & Presentation Management
- Manage the coordination necessary to create, organize, and consolidate slide decks for product-related presentations.
- Collaborate with multiple stakeholders to ensure all materials are prepared, accurate, and aligned with messaging goals.
- Standardize templates and improve the consistency and clarity of presentations.
4. Internal Project Management (Efficiency & Process Optimization)
- Manage internal projects aimed at optimizing R&D operations, from definition to execution.
- Use AI-assisted project planning to define scope, track progress, and manage risks.
- Drive execution, monitor outcomes, and report on key improvements in operational efficiency.
5. Customer & Partner Engagement
- Support customer and partner-facing presentations, ensuring materials are clear, well-structured, and ready in advance.
- Assist in coordinating and optimizing engagements with external stakeholders.
6. Stakeholder & Vendor Management
- Act as a central coordination point for Product Managers, Engineers, and Leadership.
- Collaborate with third-party vendors to support event logistics, operational tools, and service agreements.
- Ensure clear alignment and smooth execution of vendor deliverables.
What You’ll Need to Succeed

- Strong organizational skills – able to manage multiple deadlines, events, and stakeholders.
- Excellent communication skills – written and verbal, with a professional approach to engaging with teams.
- Attention to detail and data hygiene – ensures OKRs, AI-generated reports, and presentations are structured and clear.
- Project coordination experience – ability to plan and execute initiatives that improve operational efficiency.
- Proactive problem-solver – anticipates risks and proactively addresses challenges.
- Fluency in English – able to communicate effectively in a global work environment.
- Familiarity with tools such as Workboard, Jira, Coda, and other collaboration platforms.
✨ Nice-to-Have (Preferred, but Not Required)
- Experience with OKR tracking tools and performance reporting.
- Understanding of Agile processes and R&D team dynamics.
- Ability to analyze and synthesize data to improve reporting accuracy.
- Prior experience in Product Operations, Program Management, or Administrative Coordination.
