Role Overview
A detail-oriented and highly organized Contractor to manage the end-to-end Background Verification (BGV) process and Day 1 onboarding coordination for new hires. This role is critical in ensuring a smooth, compliant, and timely transition for candidates from offer acceptance through their first day, while also handling vendor invoicing and documentation related to verification services.
Key Responsibilities
1. Background Verification (BGV) Management
- Own the end-to-end background verification process for all new hires, from initiation to closure.
- Coordinate with third-party BGV vendors/agencies to initiate checks (employment history, education, address, criminal record, reference checks, etc.).
- Track verification status across all active cases and follow up proactively to avoid delays.
- Review and validate verification reports for accuracy and completeness, flag discrepancies, or red flags to HR.
- Liaise with candidates to collect required documents and resolve any verification queries or discrepancies.
- Maintain BGV trackers/dashboards and provide regular status updates to stakeholders.
- Ensure compliance with company policy, data privacy regulations, and applicable local laws throughout the verification process.
Invoicing & Vendor Management
- Manage invoicing related to background verification vendors, including reviewing invoices for accuracy against services rendered.
- Reconcile vendor invoices with verification volumes and raise discrepancies as needed.
- Coordinate with Finance/Procurement for timely invoice processing, approvals, and payments.
2. Day 1 Onboarding Coordination
- Manage end-to-end coordination for new hire Day 1 onboarding, ensuring a seamless candidate experience.
- Liaise with IT, Facilities, HR, and hiring managers to ensure workstations, access, and logistics are ready ahead of the joining date.
- Coordinate joining kit, and pre-boarding documentation with candidates.
- Schedule and manage Day 1 induction sessions, welcome communications, and orientation logistics.
- Ensure all statutory and company-required documentation (ID proof, forms, agreements, etc.) is collected, verified, and filed correctly.
- Serve as the primary point of contact for new hires on their first day, addressing questions and resolving onboarding issues in real time.
Documentation & Reporting
- Maintain accurate, organized, and audit-ready records for both BGV and onboarding processes.
- Prepare periodic reports/dashboards on BGV turnaround times, pending cases, and onboarding completion rates.
- Ensure all documentation complies with data protection and company retention policies.
Required Skills & Qualifications
- Prior experience in HR operations, background verification, or onboarding coordination (2+ years preferred).
- Strong understanding of BGV processes and vendor coordination.
- Experience handling vendor invoicing, reconciliation, or basic finance coordination is a plus.
- Excellent organizational skills with the ability to manage multiple candidate cases simultaneously.
- Strong communication skills, both written and verbal, for candidate- and stakeholder-facing interactions.
- High attention to detail and comfort working with sensitive/confidential information.
- Proficiency with MS Office (Word, Excel, power point etc) ; familiarity with HRIS or BGV platforms is an advantage.
- Ability to work independently and manage deadlines in a fast-paced environment.
