About the Intake Coordinator Position:

The Intake Coordinator processes incoming requests for prior authorization of laboratory services and provides support to the clinical team. This position exercises discretion, sound judgment, and personal initiative to assist with the prior authorization process for laboratory services. The Intake Coordinator supports the operations of the department by applying policies and workflows, assisting providers, and obtaining proper documentation of prior authorization records and documentation to ensure a quick turnaround time with a quality outcome.

This position is eligible for remote work, but quarterly travel to the corporate office in Tampa, Florida may be required.

Intake Coordinator – Essential Functions and Responsibilities:

  • Effectively handles authorization requests and inquiry phone calls from providers, balancing excellent customer service with efficiency.
  • Follows appropriate procedures for checking member eligibility, authorization history, and provider network participation status.
  • Based on the information provided by the healthcare provider, determines the appropriate handling of each prior authorization request.
  • Accurately enters authorization requests into Avalon’s laboratory benefit management system.
  • Communicates authorization determinations to providers either verbally on the phone or through written fax communication.
  • Interprets a variety of instructions furnished in written and oral forms.
  • Assists in preparing and submitting letters, reports, or assignments as needed to meet department initiatives and/or objectives.
  • Demonstrates appropriate customer-care skills such as empathy, active listening, courtesy, politeness, and helpfulness.

Intake Coordinator – Minimum Qualifications:

  • Ability to interpret documents.
  • Excellent communication skills
  • Ability to navigate and master proprietary software programs and be proficient in MS Office programs.
  • Effective data entry and word processing skills.
  • Must have a customer service focus.
  • Willing and able to work a flexible schedule to cover the hours of 8:00am to 8:00pm.
  • Understanding of HIPAA and PHI (preferred)
