What Is The Role:
As the Executive Assistant to the CFO and Finance team, you will play a critical role in ensuring seamless day-to-day operations. You’ll manage calendars, coordinate expenses, plan events, and assist with ad hoc projects, all while contributing to a high-performing, collaborative team environment. This role is perfect for an energetic, detail-oriented professional who thrives in a fast-paced, innovative setting.
What You’ll Be Responsible For:
- Set up call and meeting schedules for the CFO and direct reports, including the Chief Accounting Officer, Head of Financial Planning and Analysis and Head of Treasury and Digital Asset Custody; prepare and distribute of agendas, notes, and materials; and administrative problem solving (e.g., meeting/resource conflict resolution)
- Inter-departmental coordination and process improvement
- Travel & expense coordination, including familiarity with internal processes, tools, and vendors
- Organize team offsites, meetings, and social events, from logistics to vendor coordination
- Handle confidential information and maintain the security of executive files and documents
- Support special projects, including research, documentation, and process improvement
What You’ll Bring:
- 3+ years professional experience as an Executive Assistant, supporting C-level executives and their teams
- Proactive self-starter and team player with a solutions-focus and positive attitude
- Organized, detail-oriented, and resourceful
- Reliable time management skills and method for tracking objectives and tasks
- Strong written and verbal communication skills
- Comfort adapting to changing situations and priorities with a sense of accountability and urgency
- Ability to thrive in a fast-paced environment and manage multiple priorities with grace
- A team player who embodies a positive and energetic attitude
- Proficiency in Microsoft Word, PowerPoint, Outlook, Excel, and expense management systems, preferably NetSuite
