Overview

The Collections Analyst is responsible for managing aspects of customer invoicing and collections performed by the Shared Service Center, while also assisting when needed. Day-to-day responsibilities include communication with the company’s sales representatives, customers, professional service providers and sales order administrators in order to answer any billing and collection inquiries in a timely fashion. The Collections Analyst will also need to provide timely and accurate support/updates to upper management upon request in relation to billing, collections, AR analytics, audit support, integration tasks, etc. The ideal candidate would be the one who is able to multi-task and embrace a dynamic environment with the mindset of continued process improvement. Strong interpersonal skills and experience with accounting systems are desired.

Primary Responsibilities

  • Responsible for performing daily operations of Accounts Receivable.
  • Serves as the escalation point for cash receipts and cash collections for all customer accounts.
  • Contacts customers by email and phone to recover a debt.
  • Develops and maintains good working relationships with internal and external customers.
  • Keeps track of payment due dates and sends reminders.
  • Keeps detailed notes and records of all communications and actions.
  • Plan course of action to recover outstanding payments, investigate and resolve disputes.
  • Attend a weekly review with team lead to thoroughly examine accounts and determine if any escalations are necessary.
  • Assists in verifying payments and credit memos are applied accurately to customer accounts.
  • Assists with coordination of external auditors and internal audit team.
  • Assists with development, maintenance and documentation of policies and procedures related to assigned responsibilities.
  • Maintains SOX documentation for assigned areas.
  • Manages Service Level Agreements for activities performed by Shared Service Center.
  • Drives process improvements including working with business partners and other departments to develop and test reporting mechanisms that will help run the business.
  • Assists with acquisition integration for all newly acquired companies.
  • Supports management in completing special projects and other tasks as assigned.

Education and Experience

  • Bachelor’s degree, degree in accounting strongly preferred.
  • 2-3 years of Accounts Receivable including billing experience in a corporate environment, preferably in mid-size to large-size companies is added value.
  • Strong Excel skills required.
  • Experience with NetSuite and Salesforce.com strongly preferred.
