Purpose of the Role
The Product Operations Specialist is responsible for enhancing the efficiency and effectiveness of product teams by driving best practices, optimising workflows, and ensuring access to actionable data insights. This role supports the Product team throughout the product lifecycle, enabling teams to deliver value efficiently and consistently. The ideal candidate will have a strong understanding of product processes, a collaborative mindset, and the ability to manage operational initiatives.
Responsibilities
Operational Support
· Maintain and organise Product documentation, ensuring that guidelines, playbooks, and templates are up to date and easily accessible.
· Support the implementation of optimised Product processes that align with Keyloop strategic objectives.
Support annual strategic Product Roadmap planning to ensure timely and high-quality outputs.
Drive consistency and improve alignment across a large and distributed team, fostering a culture of continuous improvement to yield more effective outcomes.
Employee Experience
Foster a supportive and inclusive team culture that motivates colleagues to maximise productivity.
Collaborate on training and development initiatives to enhance team capabilities and knowledge.
Contribute to onboarding processes for new team members, ensuring a seamless integration into the product organisation.
Product Tech Stack and Tools
· Manage collaboration and tracking tools (e.g., JIRA, Confluence, Roadmap tools) to ensure smooth team operations.
Train and support teams in using tools and frameworks to standardise workflows and increase transparency.
Manage and optimise the product tech stack workflows, ensuring tools are effectively implemented, adopted, and aligned with team needs.
Data Insights
· Collect and maintain operational data to track and analyse key product metrics to measure team performance, operational efficiency, and product delivery outcomes.
· Continuously refine data processes and reporting frameworks to drive improvements in product performance and team effectiveness.
· Create dashboards and reports to share insights with Product team and stakeholders. to enable informed decision-making.
Product Concierge
Act as a liaison between Product, Engineering, and other cross-functional teams to ensure alignment and effective communication.
Remove operational obstacles to enable teams to focus on delivering value.
Contribute to a culture of continuous improvement by identifying opportunities for operational excellence.
Skills, know-how and experience
Must-Haves
1-2 years of experience in Product Operations, Product Management, Product Ownership or Business Analysis, or a related role within a software development environment.
Knowledge of product lifecycle management and software development processes, including Agile methodologies.
Strong analytical skills with experience in defining and tracking product KPIs/OKRs.
· Proficiency with workflow and collaboration tools (e.g., JIRA, Confluence, or similar).
· Strong communication and interpersonal skills, with the ability to present data and insights clearly to stakeholders and collaborate effectively across teams.
· A proactive and detail-oriented mindset, with a focus on execution and problem-solving.
· Strong organisational and time-management skills, with an ability to handle multiple tasks simultaneously.
Preferred
· Familiarity with data visualisation tools (e.g., Power BI, Tableau) for reporting and insights.
· Exposure to managing training programs or certification frameworks for product teams.
· Proven ability to work effectively with global, multi-cultural, cross-functional stakeholders.
