Purpose of the role
The RFP Senior Analyst plays a critical role in driving both data-driven decision-making and best-in-class Request for Proposal (RFP) processes across Keyloop. In this role, you will work closely with cross-functional teams across the organization, raising the profile of RFP processes and championing best practices. You will coordinate tender response preparation, provide governance, and ensure customer deadlines are consistently met.
This role also involves building strong relationships across departments and hierarchies, reviewing content from multiple authors, standardizing content structure, and suggesting improvements. By combining analytical rigor with process excellence, you will deliver actionable insights, improve operational efficiency, and enhance the quality and consistency of Keyloop’s RFP and tender responses.

Duties and Responsibilities

  • Own end-to-end RFP bid preparation and management
  • Co-ordinate proposal development and tender response processes across the organisation, often within tight deadlines
  • Collate, review, and standardise content from multiple disparate sources, providing corrections and suggesting improvements as appropriate.
  • Compile response documentation and format to meet corporate brand guidelines and templates.
  • Adhere to internal company processes and governance requirements as part of the response process.
  • Engage with customer procurement departments as applicable to obtain documentation and clarifications as needed.
  • Engage with colleagues across the organization, including sales, professional services, legal, finance, product, IT, and marketing.
  • Use persuasive skills to ensure tender processes complete accurately and on-time.
  • Assist sales and product teams with pre- and post- tender processes as required.
  • Ensure appropriate use of tender management tools (Loopio) within the organisation.
  • Communicate findings clearly to both technical and non-technical audiences

Skills and Experience

  • 5+ years of experience in RFP/proposal management, preferably in a SaaS environment
  • APMP Foundation Certification
  • Ability to influence stakeholders and drive decision-making through data storytelling
  • End-to-end RFP process management
  • Strong planning and organisational skills along with strong prioritisation skills
  • Ability to multitask in a fast-paced environment.
  • High attention to detail
  • Expertise in Microsoft Office tools (Word, Excel, PowerPoint), including ability to exploit advanced features of the tools to aid authoring of large documents with content from multiple sources.
  • Excellent command of written English. Fluency in additional languages would be considered an advantage.
  • Experience with tender management / proposal tools such as Loopio would be an advantage.
  • Strong interpersonal skills and the ability to collaborate across diverse teams.
  • Nice-to-have: Knowledge of AI, machine learning concepts, or experience applying AI tools for BAU, analytics or process automation.
