Job Title: Executive Administrative Assistant
Job Summary:
The Executive Administrative Assistant provides administrative support to the senior executive team.
The Executive Administrative Assistant manages and executes all administrative tasks required to support the senior executives including but not limited to: heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of executive meetings; screening incoming calls and correspondence and responding to inquiries independently wherever possible
Essential Functions:
  • This position regularly, frequently, and independently interfaces with high-level internal and external contacts requiring considerable discretion, initiative and confidentiality
  • This position understands the requirement for flexibility and accommodates shifting priorities and deadlines while representing and supporting the senior executive team
  • The Executive Administrative Assistant is a seasoned professional who combines an overall understanding of a senior executive’s day-to-day responsibilities while working with minimal supervision, exercising independent judgment and proactively communicating
  • Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings on behalf of the senior executives
  • This position screens telephone calls and visitors in the office, and resolves routine and complex inquiries
  • This position plans, coordinates, and assists at various events; arrange logistics for special meetings or events including hotel reservations, equipment reservations, directions, food and refreshments, meeting spaces, and parking as needed
  • The Executive Administrative Assistant coordinates special projects as directed

To perform this job successfully, an individual should have expert knowledge in Microsoft Office software
  • Individual must be flexible, energetic, self-motivated, quick-thinking, and able to juggle multiple and diverse responsibilities
  • Should be comfortable working both as part of a team and independently, with minimal supervision
  • Must have the ability to work on projects that will be self-directed and have the ability to determine and set processes
  • Must be a self-starter who is detail oriented
  • Ability to handle multiple tasks and support special project needs
  • Must have flexibility, excellent interpersonal skills, project coordination experience
  • Ability to work well with all levels of internal and external management and staff
  • Strong business acumen
  • Exceptional organizational and planning skills

Experience: Minimum of seven (7) years’ experience with supporting and/or serving as an executive assistant to the Chief Executive Officer and other senior executives

Certifications: N/A
Language Skills:
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from a variety of both internal and external sources.
