Vacancy Description:

Muse Group empowers music makers. We create the world’s most popular apps for playing, recording and composing music. Through our innovative learning tools, expansive music catalogs and free open-source software, we make it easier for millions — from beginners to experienced musicians — to be creative every day.

Our talented team of music lovers collaborates all over the globe, from Limassol to Seoul and Boston to Berlin. We’re an ambitious company with the drive and culture of a startup, with many more exciting Muse Group developments to come.

We are looking for a Head of Operations & Transformation who will execute the company’s Operations, strengthen cross functions alignment, elevate execution of the cross and strat projects and implement/develop the Company's processes and approaches.

You will work closely with the Executive Team to design and enforce the systems, rituals, processes, and rhythms that enable the company to be efficient and to scale.

This is a highly cross-functional role that requires strong collaboration skills - especially with the executive team, also business value thinking, execution, data driven decision making and the ability to drive cultural and structural change. The main stakeholders of the role are the executive team members.

This is not a “pure vision” or advisory role. This is a hands on role: facilitating planning cycles, running rituals, building structure, coordinating leaders, managing and implementing projects, and making sure things get done.

What’s in it for you?

  • Radical Ownership - Own the company’s operating system end to end—processes, rituals, and execution. You’re accountable for outcomes, empowered to fix what’s broken, and trusted to build systems that scale.
  • Global Impact - Shape how the company operates across regions and time zones. Your work aligns teams worldwide and directly impacts the business at a global scale.
  • High Autonomy - Build from first principles with real decision-making authority. Choose the tools, set the cadence, and drive transformation with minimal bureaucracy and full leadership trust.
  • You won't hear water cooler chat about the weather here at Muse, here we are rating our favorite Prince albums and discussing Japanese punk.
    Key Responsibilities:

    1) Strengthen Muse Rituals and Operations Across Teams

Goal: establish shared rhythms that bring clarity, transparency, and consistency.

    You will:

    • Define and implement daily, weekly, and monthly planning rituals' processes
    • Introduce shared dashboards to visualize progress and maintain transparency
    • Ensure that team rituals become the backbone of consistent execution

Outcome: teams operate predictably, transparently, with aligned priorities and as per Muse approach

    2) Managing strategic projects

Goal: manage as PM the cross functions projects that bring business value

    You will:

    • suggest / take / manage projects as PM to make sure this brings value to business, made as per Muse's project management requirements and within stakeholders' expectations

Outcome: cross functions / operational projects are done based on data/metrics, in a transparent way for the stakeholders and within Muse project management approach

    3) Implement Ownership in Cross-Functional OKRs

Goal: make every initiative have a clear driver and owner (eliminate “collective irresponsibility”)

    You will:

    • Introduce a structured dual-ownership model:
Business Owner (accountable for outcome ) +
      Execution Lead (responsible for delivery)
    • Facilitate prioritization of cross-functional OKRs at the Executive level
    • Build a process for expectations management during execution
    • Ensure every cross-functional initiative has clear requirements, priorities, and responsibilities

Outcome: transparency about who drives what and results' expectations management

    4) Improve goalsetting system as the Company’s Strategic Operating System: strategic focus, transparency, and accountability.

    You will:

    • Re-educate teams on purpose, principles, and expected behavior in the goal setting process
    • Redesign annual and quarterly planning into true strategic tool
    • Facilitate Executive Team goalsetting sessions
    • Establish and run all goalsetting rituals: quarterly planning, reviews, and ongoing monitoring etc
    • Support exec-leaders in framing strategic objectives, measurable outcomes, and priorities
    • Ensure goals are lived in reality, not maintained as formal artifacts

Outcome: OKRs as a goalsetting tool to become a shared commitment to strategy execution, not a formality.

    5) Build a System for New Leaders to absorb Muse's rituals and processes

Goal: ensure new leaders absorb the company’s Operations standards: rituals, processes, and operating norms through structured learning.

    You will:

    • Make operational onboarding effective and result-oriented
    • Ensure internal project management and knowledge sharing tool become the single source of truth for async work and all work related initiatives
    • Build tools for Musers to follow the rituals and processes
    • Partner with People team and executive Team to ensure successful completion absorbing of Muse practices and rituals

Outcome: leaders onboard Muse operational processes consistently, understand expectations, and operate with shared Muse standards

    The way
    we work
We believe everyone in the Muse Group team is a leader. That's why our core philosophy is based on our leadership principles.
Leaders focus on daily outcomes. Each day is a small life. Speed and accuracy in planning are the foundation of trust.
We consciously embrace imperfection in work for the sake of speed. Perfectionism slows progress, so it’s essential to move quickly and try new things.
Radical responsibility means taking personal accountability for every aspect of personal and team work, including problems and their solutions. It shifts focus from "we" to "I," where I take full responsibility for the result without blaming external circumstances or other people.
Leaders focus on daily outcomes. Each day is a small life. Speed and accuracy in planning are the foundation of trust.
