What to Expect:
- Audit Support: Assist with administrative tasks during the planning and execution of internal audits. This could involve gathering data, preparing audit schedules, and managing logistics for audit meetings.
- Communication Facilitation: Act as a liaison between the internal audit team and other departments within the organization. This includes handling queries and routing information as needed.
- Meeting Coordination: Schedule and coordinate meetings for the internal audit team. This may include setting agendas, taking minutes during meetings, and following up on action items post-meeting. Maintain a calendar for Governance committees (Executive and Board) and ensure timely submission of papers by IA by tracking their requested submission dates and working with the IA team to ensure they remain on track.
- Administrative Duties: Perform general administrative tasks like helping the team with expenses and travel bookings. Track the holiday schedule for the team to ensure it is taken timely, monitor completion of mandatory training, and help arrange team offsite events/ volunteering activity.
- Procurement & ongoing spend: Manage the process to complete the Prevalent profile & tiering questionnaire and engage with legal and procurement teams to get agreements and statements of work signed timely. Load new suppliers in Coupa and raise requisitions and then invoices for payment in the system.
- Budget and headcount tracking: Support the Chief Auditor and Head of QA to track use of budget in year.
- Reporting: Support the Chief Auditor and Head of QA by collating various MI/ reports to support leadership meetings and ongoing collation/ presentation of KPIs to governance committees.
- Team communications: Manage access to the team distribution list and SharePoint site/ team’s channel.
To be successful you need to have:
- Bachelor's degree in business administration or other similar
- Proficiency in additional languages such as Spanish or Bulgarian is considered an asset
- 3+ years’ experience in a project management role/Office Manager or similar role
- Computer literacy, strong Internet knowledge, mail, Microsoft Suite (Excel, Word and PowerPoint)
