Professional Services Coordinator
Job Summary
The Professional Services Coordinator is a highly organized, meticulous, and customer-focused professional on our pharmacy software team. In this role, you will be responsible for coordinating the delivery of professional services and vendor data services, including software implementation, vendor support, training, and ongoing support, ensuring seamless experiences for our clients or vendors in the pharmacy industry.
Key Duties
- Coordinate the end-to-end delivery of professional services for our pharmacy software clients, including project planning, scheduling, resource allocation, and/or budget management.
- Coordinate the end-to-end delivery of data services for designated vendor partners, including project planning, scheduling, resource allocation, and/or budget management.
- Coordinate the execution of contracts and/or amendments prior to professional or vendor data services work being performed.
- Function as the primary point of contact for clients, vendors, or support staff, addressing any questions, concerns, or issues that arise during the implementation process and ensuring timely resolution.
- Collaborate closely with sales, product, and customer support teams to understand client/vendor needs, expectations, and requirements, facilitating a smooth handoff from sales or other stakeholders to professional services.
- Monitor project progress and proactively identify potential risks or delays, working with cross-functional teams to mitigate issues and keep projects on track.
- Maintain accurate and up-to-date records of project status, timelines, and resources in the company’s CRM software, providing regular updates to clients, vendors, and internal stakeholders.
- Organize and coordinate software training sessions, both on-site and remotely, ensuring clients are proficient in the use of our pharmacy software solutions.
- Assist with the development and improvement of professional services processes, tools, and documentation, contributing to the ongoing optimization of our service offerings.
- Gather and analyze client feedback on professional services and vendor data services engagements, using insights to drive continuous improvement and enhance customer satisfaction.
- Stay current with industry trends, regulations, and best practices related to pharmacy software and professional services, sharing knowledge with the team as needed.
- Support the professional services team with ad-hoc administrative tasks and special projects as required.
Education/Training
- Bachelor’s degree in business administration, healthcare management, or a related field.
Required Work Experience/Skills
- A minimum of 2 years of experience in professional services, project coordination, or client-facing roles, preferably within the pharmacy or healthcare software industry.
Preferred Work Experience/Skills
- Demonstrated critical thinking skills and the ability to adapt to changing priorities and requirements.
- Basic understanding of pharmacy software solutions, industry regulations, and best practices related to software implementation and support.
- Effective communication and interpersonal skills, with a customer-centric mindset and a commitment to providing exceptional service.

Physical Demands, Working Conditions, and General Employment Guidelines

- Position is performed in a general office environment, home office, or approved remote workspace where physical work includes sitting, standing, reaching, kneeling, bending, and lifting to 25 lbs.
- Willingness to travel occasionally to client sites or industry events as needed.

- Must have internet access, which may be reimbursed by the Company according to the policy.
