Position Overview
The Purchase Order Data Analyst supports the Planning Team by creating and managing purchase orders, monitoring inbound supply and ensuring accurate invoice processing. This role combines data analysis with hands-on purchasing responsibilities to ensure material and inventory are ordered accurately and delivered on time to support demand plans.
Essential Job Functions
- Purchase Order Management
- Create, confirm, manage, and track all purchase order data
- Communicate final purchase orders to vendors and confirm order acknowledgements
- Maintain accurate PO records within the ERP system
- PO Maintenance
- Follow up of changes/revisions to all impacted parties.
- Invoice and Shipping Confirmations
- Ensure accuracy and request necessary adjustments prior to submission (to include air/sea).
- ASN Creation
- Support as needed finance in invoice documentation
- Data Review and Reporting
- Review purchase order data for accuracy, completeness and compliance
- Using the ERP systems to track, report and maintain accurate PO Data, including pricing, quantities and supplier information
- Track PO lifecycle (creation, approval, fulfillment, closure)
- Maintain data integrity within ERP
- Vendor/Agency Management and Communications
- Manage vendor planning communications from PO confirmation through warehouse receipt
- Track and work with Supply Chain and Freight Forwarders on all international shipments
- Communicate with Product Development regarding sample and courier shipments.
You Have
- Minimum 2 years’ relevant experience - purchasing office experience a plus
- Proficiency in MS Excel/Word
- Experience with ERP systems – Quicksight, Airtable, Ofbiz and Manhattan a plus
