ABOUT THIS POSITION
The Workplace Experience Coordinator will serve as the primary mailroom coordinator and point of contact for Waystar’s Louisville mailroom operations. The workplace experience coordinator will provide administrative support for various functions to include mailing and printing services as well as providing front desk support and coverage.Enhancing our workplace experience through a white glove service approach to office services while establishing efficient mailroom operations. We are thrilled to add a part-time Workplace Experience Coordinator to our team. The right candidate is an organized, diligent, and proactive guru of workplace efficiency. In this role you will be responsible for Waystar’s Louisville mailroom operations and facilities support functions to include front desk coverage, snack & beverage inventory, and more. This position requires a tech savvy team member with a strong sense of urgency, unsurpassed organizational skills, exemplary communication skills, an innate attention to detail, and a black-belt multi-tasker. The Workplace Experience candidate is an ambassador for workplace excellence, fosters collaboration and has a strong drive for relationship building with a proactive approach to completing daily tasks.
WHAT YOU'LL DO
- Own and manage mailroom operations
- Extend white glove customer service
- Project a positive, approachable, friendly and professional image
- Apply a continuous improvement approach to all assigned tasks
- Anticipate customer needs and prioritize tasks to achieve customer satisfaction
- Monitor and respond to mailroom service requests in a timely manner
- Prioritize and adhere to due dates to ensure deadlines are met
- Handle incoming, outgoing, interoffice and overnight mail
- Perform data entry tasks to include logging packages
- Maintain shipping records to aid in tracking packages
- Operate mailroom equipment (printers, postage meter, copy machines, etc)
- Prepare special mailings including express/registered mail and courier services
- Maintain office and mail room supplies inventory
- Provide front desk coverage as needed
- Assist the facilities team with snack and beverage stocking and inventory
- Act as a liaison between the Workplace Experience team, Waystar team members and external mailroom and facilities service providers
WHAT YOU'LL NEED
- A pro level of customer service and experience
- 2+ years of previous experience in mailroom/facilities/administrative services
- Previous knowledge of courier and US postal services regulations and procedures
- Ability to develop, interpret and apply policies, procedures/guidelines
- Strong acumen of Microsoft Teams and MS Suite
- Must have ability to work with changing priorities effectively and efficiently
- General understanding of technology and data files
- Maintain confidentiality
- Attention to detail

- Associate degree in Business Administration or 2 years of college education
