ABOUT THIS POSITION

As the Meeting Manager on the Waystar Corporate Events team, you will play a vital role in developing and delivering exceptional experiences during our flagship meetings such as the annual Growth Summit meeting, Winner’s Circle incentive trip and True North client user conference as well as our virtual townhalls. In this role you will increase brand engagement and awareness, as well as improving and maintaining company culture.

WHAT YOU'LL DO

What You’ll Do

  • Manage all aspects of pre-show planning including but not limited to: budget development, creating online registrations, and managing reporting in Cvent. In addition, build event agendas, create hotel RFPs, arrange ground transportation, manage hotel room blocks and meeting space, BEO preparation, securing offsite venues, and managing audio-visual needs.
  • Work closely with the Sr. Director of Events to plan the events calendar at least a year in advance and manage the event planning process as well as the onsite team member experience.
  • Collaborate with the marketing, sales, and client success teams to develop both large- and small-scale event plans that contribute to Waystar’s growth and brand awareness.
  • Provide consistent and clear communication of events programs to all stakeholders in a timely manner, including briefing documents and logistics.
  • Organize planning sessions with key stakeholders to gain input on goals and executional ideas.
  • Generate ideas to support the advancement of the Waystar brand at events. Work with the marketing team to ensure brand standards are met.
  • Develop partnerships within the organization and is able to take a creative approach to solving problems across multiple teams to achieve desired outcomes.
  • Develop scalable processes to support communication, documentation, and operations for managing vendors and communicating internally.

WHAT YOU'LL NEED

What You’ll Need

  • 5+ years of planning corporate meetings
  • Bachelor’s Degree required
  • Cvent experience is required
  • Excel and Microsoft Office Suite experience required
  • Ability to travel 30-40%, including some weekends
  • Travel and meetings industry knowledge and experience overseeing complex logistics
  • Proven ability in managing day-to-day planning and operational activities
  • Sound business judgment and discretion when working with sensitive or confidential information
  • Ability to operate with minimal supervision, yet able to thrive in a collaborative team environment
  • Manage multiple priorities with tight timelines in a rapidly changing environment
  • Energetic and self-directed with impeccable attention to detail
  • Strong listening and verbal communication skills
  • The confidence to lead others without direct authority and work with multiple stakeholders
  • Excellent written and verbal communication skills, including presentation capabilities
