ポジション概要

オフィスマネジャー/エグゼクティブアシスタントとして、日本事業の運営効率向上に貢献していただきます。東京オフィスにおける円滑な業務運営を支えるとともに、エグゼクティブリーダーのサポートおよび社内文化の醸成にも寄与していただく重要な役割です。

主な業務内容

オフィスマネジメント業務

  • 東京オフィスのスムーズな運営と、社員・パートナー・顧客にとって快適な環境づくり
  • グローバルオフィスおよびイベントカレンダーの管理・調整
  • 社内外の会議やイベントの準備・運営(資料作成、会場手配、飲食手配など)
  • 経営陣・社員・顧客・外部パートナーとの窓口対応
  • オフィスの在庫・備品・スナック・飲料の発注および管理
  • キッチンや共用スペースの整理整頓・清掃状態の維持
  • オフィスランチ・スナック・イベントの予算管理
  • ベンダー管理、オフィス移転・開設プロジェクトなどにおけるGlobalチームとの連携
  • Workplace Experienceチームと連携した体験向上施策の企画・実施

エグゼクティブアシスタント業務

  • 経営陣のスケジュール調整・カレンダー管理・情報共有のサポート
  • 出張手配、経費精算の対応
  • 経営陣が関与する会議の調整と資料準備
  • 各ステークホルダーとの連絡窓口としての対応
  • その他経営陣が必要とする業務の補佐

応募要件

【必須条件】

  • エグゼクティブアシスタントや類似職種での経験3年以上
  • オフィスマネジメントの実務経験5年以上(オフィス移転やイベント運営経験を含む)
  • Google WorkspaceおよびMicrosoft Officeの操作スキル
  • 急成長中のチーム・企業でのサポート経験
  • ベンダー調達および管理の経験
  • 柔軟性・スピード感を持ち、臨機応変に対応できる能力
  • 日本語・英語による円滑なコミュニケーション力

  • テクノロジー/SaaS/iPaaS業界での経験

As an Office Manager/Executive Assistant you will contribute to the efficiency of our Japan business by providing personalized and timely support to our executive leadership and building an amazing culture in our Tokyo office.

What you'll do:

Office Management Duties:

  • Ensure the Tokyo Office runs smoothly and help to drive an amazing team culture for team members, business partners and customers
  • Help to manage a global office onsite and event calendar so things are organized and run efficiently
  • Organize and set up staff and business meetings and prepare supporting materials
  • Coordinate team events, food deliveries, etc.
  • Act as the point of contact among executives, employees, clients and other external partners
  • Provide general administrative/office support for the Australia office
  • Partner with our Workplace Experience team to provide support related to the office including vendor management, openings, etc.
  • Partner with the workplace experience team to plan and host a variety of workplace experience initiatives
  • Track budgets for office lunches, snacks, and workplace events
  • Order and maintain office inventory, supplies and snacks
  • Keep the office organized and tidy
  • Ensure all the kitchens are maintained and stocked including coffee machines, snacks, beverages, consumables, etc.
  • Partner with the Global Director of Real Estate and Workplace Experience on various projects and initiatives.

Executive Assistant Duties:

  • Coordinate scheduling and calendar management, as well as management of content and flow of information to senior executives
  • Manage and coordinate senior executives’ travel and travel-related activities, including expense reports
  • Organize staff and business meetings and prepare supporting materials
  • Act as the point of contact among executives, employees, clients, and other external partners

The Experience you bring:

  • 3+ years supporting senior executives in an Executive Assistant or similar role
  • 5+ years of experience as an Office Manager with knowledge/expertise in office moves and internal events
  • Proficiency in Google Suite, Microsoft Office, and other office productivity tools, with the aptitude to learn new software and systems
  • Experience supporting/partnering with a fast-growing team
  • Demonstrated ability to influence and work regionally to align business and workplace strategy
  • Experience sourcing and managing vendors
  • Experience being able to move quickly, think on your feet, and pivot at any time

Bonus points if you have:

  • Experience in the Tech/SaaS / iPaaS industry
  • Experience with office relocations and openings

  • Proactive problem solver with exceptional communication and interpersonal skills both in Japanese and English
  • Well-organized, with great time management skills and the ability to multitask
  • Exhibit strong professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
