Job Overview
We are seeking a Workplace Experience Manager for a 6-month contract to lead the day-to-day operations of our London office, ensuring a seamless, engaging, and high-performing workplace environment. In this role, you will oversee facilities management, vendor partnerships, office procurement, access control, and health and safety compliance, while driving initiatives that deliver an exceptional employee experience. Working closely with leadership and People teams, you will support onboarding, engagement programs, and executive events. Acting as the on-site IT liaison, you will manage asset provisioning, first-line technical support, and equipment coordination. You will also develop scalable processes, track performance metrics, and lead office projects to drive operational excellence and continuous improvement.
Job Responsibilities
Workplace Experience & Office Operations
- Lead the day-to-day management of the London office to ensure a seamless, welcoming, and high-performing workplace environment.
- Create and continuously improve a best-in-class employee experience across facilities, services, and office programming.
- Manage vendor relationships across cleaning, security, catering, building management, and facilities maintenance.
- Oversee procurement of office supplies, furniture, and workplace equipment.
- Maintain accurate records of office inventory and operational assets.
- Manage office access and badge administration
- Coordinate onsite executive leadership meetings, employee events, and client visits.
- Partner with leadership and People teams to support engagement initiatives and in-office programming.
- Partner with the People team to support onboarding, offboarding and employee experience.
- Ensure health, safety, and compliance standards are upheld in partnership with building management and create company policies.
- Manage fire safety procedures and emergency drills.
- Lead office moves or refurbishment.
IT Enablement & On-Site Coordination
- Serve as the on-site liaison between employees and central IT, proactively identifying and escalating technology-related issues.
- Coordinate receipt, storage, tracking, and lifecycle management of IT assets.
- Prepare and provision equipment for new hires (laptops, monitors, accessories) in collaboration with IT.
- Provide basic first-line troubleshooting (Wi-Fi connectivity, peripheral setup, toner replacement, device restarts).
- Coordinate with third-party technology providers (internet, GSM, hardware vendors) as needed.
- Support IT teams with server room access, cable management, and hardware setup under direction.
- Provide occasional out-of-hours operational support when necessary.
- Oversee meeting room bookings, functionality and AV set up.
- Manage IT inductions for new hires.
Operational Excellence & Governance
- Develop, document, and maintain scalable SOPs for workplace and IT-related workflows.
- Track and report on operational KPIs, vendor performance, inventory accuracy, and issue resolution.
- Identify opportunities to enhance efficiency, cost-effectiveness, and service quality.
Required Qualifications and experience:
- 4+ years’ experience in workplace operations, facilities management, office management, or similar operational roles.
- Proven experience managing office vendors and facilities services.
- Familiarity with IT equipment provisioning and basic troubleshooting.
- Strong organizational, communication, and stakeholder management skills.
- Ability to manage multiple priorities in a fast-paced, high-growth environment.
- Experience supporting multi-location or international offices preferred.
- First aider – advantageous
